Rose Farm & Bloom LLC respects your privacy. This Privacy Policy explains how Rose Farm & Bloom collects, uses, stores, and shares information through the Rose Farm & Bloom website, ecommerce operations, and RFBE ERP, our private internal business application.

RFBE ERP is used to manage purchasing, inventory, production, sales, shipments, accounting integrations, and related business operations. RFBE ERP is not offered for public subscription or resale.

When you visit our website, place an order, contact us, or otherwise interact with Rose Farm & Bloom, we may collect information including:

• your name;
• email address;
• billing and shipping addresses;
• telephone number when provided;
• order and transaction details;
• products purchased or placed in a shopping cart;
• customer-service communications;
• shipping and fulfillment information; and
• information submitted through forms on our website.

Our website and service providers may also automatically collect technical information such as IP address, browser type, device information, cookie information, and website activity.

How Website and Customer Information Is Used

We may use this information to:

• process and fulfill orders;
• process payments and refunds;
• calculate taxes and shipping;
• send order confirmations, shipping notices, and other transactional communications;

Payment Information

Payment transactions may be processed by third-party payment providers. Rose Farm & Bloom does not intentionally store complete payment card numbers in RFBE ERP.

QuickBooks Online Information We Access

RFBE ERP may access information from QuickBooks Online after authorization by the account owner, including:

• company profile information;
• chart of accounts;
• account names and account identifiers;
• accounting transaction identifiers;
• journal-entry information created through RFBE; and
• synchronization status and error information.

RFBE does not request or store a user's QuickBooks password. Access is authorized through Intuit's OAuth process.

How QuickBooks Information Is Used

QuickBooks information is used only to:

• connect RFBE ERP to the authorized QuickBooks company;
• retrieve the chart of accounts;
• support account mapping;
• prevent duplicate accounting entries;
• create approved RFBE accounting transactions;
• record QuickBooks transaction IDs and synchronization results; and
• support audit, reversal, and reconciliation workflows.

RFBE ERP does not use QuickBooks information for advertising or unrelated marketing.

Data Storage and Security

RFBE ERP is operated by Rose Farm & Bloom.

Business data, integration settings, and synchronization records are stored in the Rose Farm & Bloom production environment and protected application folders and systems.

OAuth access and refresh tokens are encrypted before storage. Reasonable administrative, technical, and physical safeguards are used to protect application data, including restricted access, firewall protection, encrypted credentials, backups, and controlled owner authentication.

Intuit requires applications using QuickBooks data to protect OAuth tokens and prevent unrelated third parties from accessing customer QuickBooks data. Rose Farm & Bloom maintains the integration consistent with those requirements.

Information Sharing

Rose Farm & Bloom does not sell QuickBooks information or customer personal information to advertisers.

Information may be disclosed when reasonably necessary:

• to Squarespace and website-service providers;
• to payment processors;
• to shipping carriers and fulfillment providers;
• to accounting, tax, or technology service providers;
• to Intuit/QuickBooks for the authorized accounting integration;
• to service providers supporting Rose Farm & Bloom who are subject to appropriate confidentiality and security obligations; or
• when required by law or valid legal process.

Cookies and Similar Technologies

The Rose Farm & Bloom website may use cookies and similar technologies for essential website operation, shopping-cart functionality, security, preferences, analytics, and other enabled services.

Browser settings may allow you to restrict or delete cookies, although doing so may affect some website functionality.

Data Retention

Website, customer, QuickBooks connection, and accounting synchronization information is retained for only as long as reasonably necessary for order fulfillment, customer service, accounting, audit, tax, fraud prevention, security, legal compliance, and legitimate business recordkeeping.

QuickBooks connection information and accounting synchronization records may be retained while the integration is active and for as long as reasonably necessary afterward for those purposes.

Intuit's data-stewardship principles specifically require applications to disclose their retention and deletion practices.

Disconnecting QuickBooks

The QuickBooks connection may be disconnected from within RFBE ERP or through the connected-app settings in QuickBooks Online.

After disconnection, RFBE ERP will stop requesting new QuickBooks data. Previously created accounting, tax, audit, synchronization, and business records may be retained when reasonably necessary for legitimate accounting, tax, legal, security, or recordkeeping obligations.

Data Deletion and Correction Requests

Requests to disconnect the integration, correct eligible personal information, or delete eligible stored data may be submitted using the contact information below.

Data that must be retained for accounting, tax, fraud prevention, audit, backup integrity, legal obligations, or legitimate transaction records may not be deleted immediately. Any retained information will remain protected and will not be used for unrelated purposes.

Your Choices

Where applicable, you may:

• request correction of eligible personal information;
• request deletion of eligible information;
• unsubscribe from optional marketing communications;
• connect or disconnect QuickBooks;
• review QuickBooks account mappings;
• control whether approved accounting transactions are posted; and
• revoke QuickBooks authorization through Intuit.

Third-Party Services

Rose Farm & Bloom uses third-party services in operating the website and business. Those providers maintain their own privacy practices, and use of their services may also be governed by their respective policies and terms.

Children's Privacy

Rose Farm & Bloom's website and ecommerce services are intended for general retail customers and are not designed to knowingly collect personal information directly from children.

Changes to This Policy

This Privacy Policy may be updated when Rose Farm & Bloom's website, RFBE ERP functionality, integrations, legal requirements, or data practices change. The effective date at the top of this page will be updated when material changes are made.
