Rose Farm & Bloom operates RFBE ERP, a private internal business application used to manage purchasing, inventory, production, sales, shipments, accounting integrations, and related business operations.

RFBE ERP is not offered for public subscription or resale.

Information We Access

RFBE ERP may access information from QuickBooks Online after authorization by the account owner, including:

  • company profile information;

  • chart of accounts;

  • account names and account identifiers;

  • accounting transaction identifiers;

  • journal-entry information created through RFBE;

  • synchronization status and error information.

RFBE does not request or store a user’s QuickBooks password. Access is authorized through Intuit’s OAuth process.

How Information Is Used

QuickBooks information is used only to:

  • connect RFBE ERP to the authorized QuickBooks company;

  • retrieve the chart of accounts;

  • support account mapping;

  • prevent duplicate accounting entries;

  • create approved RFBE accounting transactions;

  • record QuickBooks transaction IDs and synchronization results;

  • support audit, reversal, and reconciliation workflows.

RFBE ERP does not use QuickBooks information for advertising or unrelated marketing.

Data Storage and Security

RFBE ERP is operated locally by Rose Farm & Bloom.

Business data, integration settings, and synchronization records are stored in the Rose Farm & Bloom production database and protected application folders.

OAuth access and refresh tokens are encrypted before storage. Reasonable administrative, technical, and physical safeguards are used to protect application data, including restricted local access, firewall protection, encrypted credentials, backups, and controlled owner authentication.

Information Sharing

Rose Farm & Bloom does not sell QuickBooks information or other user data.

Information is not disclosed to third parties except:

  • when required to operate the authorized QuickBooks integration;

  • to service providers that support the application and are subject to appropriate confidentiality and security obligations;

  • when required by law or a valid legal request.

Data Retention

QuickBooks connection information and accounting synchronization records are retained while the integration is active and for as long as reasonably necessary for accounting, audit, tax, security, and legal obligations.

Records may be retained longer when required by applicable law or legitimate business recordkeeping requirements.

Disconnecting QuickBooks

The QuickBooks connection may be disconnected from within RFBE ERP or through the connected-app settings in QuickBooks Online.

After disconnection, RFBE ERP will stop requesting new QuickBooks data. Previously created accounting and audit records may be retained when necessary for legitimate accounting, tax, legal, or recordkeeping obligations.

Data Deletion Requests

Requests to disconnect the integration or delete eligible stored data may be submitted using the contact information below.

Data that must be retained for accounting, tax, fraud prevention, audit, backup integrity, or legal purposes may not be deleted immediately. Any retained information will remain protected and will not be used for unrelated purposes.

Your Choices

The authorized business owner may:

  • connect or disconnect QuickBooks;

  • review account mappings;

  • control whether approved accounting transactions are posted;

  • request correction or deletion of eligible information;

  • revoke QuickBooks authorization through Intuit.

Changes to This Policy

This Privacy Policy may be updated when RFBE ERP functionality, legal requirements, or data practices change. The effective date at the top of the page will be updated when material changes are made.
